About the Role
We are seeking a highly organized and proactive Executive Assistant to support our Managing Director (MD) at our Kolkata office. This pivotal role requires a professional with extensive experience in administrative functions, coupled with a background as a Chartered Accountant (CA) intern. The ideal candidate will possess exceptional communication skills and an ability to manage sensitive information while ensuring the seamless operation of the MD's office.
Key Responsibilities
- Provide comprehensive administrative support to the Managing Director, including calendar management, travel arrangements, and meeting coordination.
- Prepare and edit correspondence, reports, and presentations, ensuring clarity and professionalism.
- Act as a liaison between the MD and internal/external stakeholders, managing communications effectively.
- Conduct research and compile data to assist the MD in decision-making and strategic planning.
- Monitor and track project progress and deadlines, ensuring timely follow-up on action items.
- Organize and maintain filing systems for documents, reports, and correspondence.
- Handle confidential information with discretion, maintaining privacy and confidentiality at all times.
- Assist in financial reporting and budgeting processes, leveraging CA knowledge to support financial analysis.
- Coordinate and prepare for board meetings, including agenda creation, minutes taking, and follow-up on action points.
- Support ad-hoc projects as required by the MD to ensure the smooth functioning of the office.
Required Qualifications
- Minimum 10 years of experience as an Executive Assistant or in a similar administrative role.
- Chartered Accountant (CA) qualification, with a solid understanding of financial principles.
- Proven experience in managing high-level executive schedules and priorities.
- Exceptional written and verbal communication skills.
- Strong organizational and multitasking abilities, with keen attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
Preferred Qualifications
- Experience in a corporate or professional services environment.
- Familiarity with project management tools and practices.
- Ability to work under pressure and adapt to changing priorities.
- Previous experience supporting C-level executives is highly desirable.
Technical Skills
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with accounting software and financial reporting tools.
- Knowledge of project management software (e.g., Asana, Trello) is a plus.
- Strong internet research and data analysis skills.
